Cashback 101

How Does Cashback Actually Work?

Follow a purchase from offer activation to tracking, approval, and payment—and learn what to do when a reward does not appear.

There are two separate transactions

When you use a cashback service, your shopping transaction and your reward transaction are usually separate. The retailer sells you the product. The reward provider records an eligible action and later credits your account. An order can arrive successfully even when its reward has not yet been approved.

Understanding that separation makes cashback less confusing: an order confirmation proves that you bought something, but the reward provider also needs evidence that you followed its particular offer.

Step 1: Choose and activate the right offer

Find the retailer or product inside the rewards service before buying. For a portal, start through its shopping link or supported extension. For a product rebate, select the offer and check size, flavor, quantity, retailer, and purchase channel. For a card-linked offer, check enrollment and which card must be used.

Make your shopping decision first, then activate the reward immediately before the eligible transaction. A screenshot of the offer and its exclusions gives you something concrete to refer to if questions arise.

Step 2: Let the purchase be matched

A portal needs to associate your shopping visit with the order. A receipt program needs evidence of the qualifying products. A card-linked program uses its supported payment-matching process. Each method can fail for different reasons; a missing receipt and a lost online referral are not the same problem.

Ibotta specifically asks for an itemized receipt, which identifies what was purchased. A payment slip showing only a total does not provide the same product detail. Keep the full receipt legible rather than just the section showing your card charge.

Step 3: Wait for validation

A recorded reward may be marked pending while the provider checks eligibility. Rakuten distinguishes processing, pending, confirmed, and ineligible orders. A return or cancellation can change the outcome. Do not spend more because a pending balance makes your budget appear larger.

Illustration: an eligible $120 order at 4% produces an expected $4.80 reward. If $40 of eligible merchandise is returned and the remaining order still qualifies, a proportional reward would be $3.20. Actual adjustments follow the offer’s rules.

Step 4: Redeem and reconcile

Once approved, a reward may still need to reach a withdrawal threshold or scheduled payment date. Check the provider’s payout screen rather than assuming “confirmed” means “already in my bank.” Save the transfer confirmation and mark the reward as received only when it reaches its destination.

If something is missing, check the stated reporting window, shopping history, product eligibility, and order changes. Contact the reward provider with the order number, purchase date, eligible subtotal, and offer evidence. For a product or delivery problem, contact the retailer. Keeping those two support paths separate usually produces a clearer request.
